How to create a basic PM and have it run based on a specific specification value?

Overview:

This guide explains how to set up an automation that automatically generates Work Orders when defined specifications are met, using the Automations menu (including PM, PdM, and more).

STEP 1: Go to Automations (PMs+) Module. Click New PM.

Getting to the main menu

Start by clicking on the main menu button on the left panel, top left portion.

If the menu button isn't visible, you are likely on a screen too narrow to see everything, press on the left pointing gold button to take you so you can see the menu button.

Shows the PMs+ Automations module with the option to create a new Preventive Maintenance (PM).

STEP 2: Enter the basic PM details

How to enter basic PM details
  • ID (Depending on your system configuration, the ID may be hidden or generated automatically.)

  • Name
Shows ID and Name that is based on user preference.
  • Asset

Navigate to the Asset tab to add an asset.

Click the green circle with plus (+) sign button to add a new asset.

Click the three-dot button to select an asset.

Click the green circle with plus (+) button to select a child asset. The list displays the available parent assets. Scroll through the list and select the desired child asset.

Upon clicking the asset, the child assets under the parent asset Calgary are displayed.

In this example, I selected Edmonton, specifically [EDM - Coast Terrace Inn], as my asset.

STEP 3: Scroll to the Trigger or Schedule section.

Select 'Specification Trigger'.

STEP 4: Set the specification and change type

Choose the specification for the PM. In this example, I selected 'Electrical Char'.

Select the Change Type: Number or Text. In this case, I selected 'Number'.

Select the Value: I selected 'Changed'.

STEP 5: Add Plan Action

Go to the Plans / Actions tab of the PM.

Click the Add New Action button.

Choose the action type:

  • Create Work Order – the PM will automatically generate a Work Order when triggered. It will ask you to specify the procedure.

  • Run Event – the PM triggers a configured Event instead of creating a Work Order. Events are system-defined actions created and managed in the Automations/Event setup area.

Save the action.

Shows to add new action. Shows add name and procedure. Shows the entire procedure.

STEP 6: Assign Asset and Update Specification

Go to the Asset section and select the asset (e.g., Toronto, specifically Sewer Manhole [NY-SEWER1])

Click the Specification.

Click the green button to add new specification.

Add the values you set in the PM trigger.

Example: Select Electrical Char and change the numeric value to 10.

STEP 7: Monitor PM History

Go to the PM History section. Locate PMs triggered by the specification.

Review the specification values and the corresponding generated Work Orders to track updates and maintenance actions.
